Fee policy

Refunds, withdrawals, transfers and the statutory cooling-off period.

What you pay and when

Deposit

non-refundable 25% deposit is required at enrolment to secure your place. This applies to every paid course.

If you’re paying through Payl8r or Clearpay, the deposit and balance are handled within the finance agreement at checkout — you don’t pay a separate deposit on top.

Balance

The remaining 75% balance is due at least 28 days before your course start date. If you’re on an in-house instalment plan, the balance is split across the agreed monthly schedule.

Pay in full

If you’d rather settle the whole fee at enrolment, you can. There’s no discount for paying in full but it removes one thing from your pre-course to-do list.


If you change your mind — refunds

The first 14 days (statutory cooling-off period)

Under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, you have 14 calendar days from the date of enrolment to cancel and receive a full refund of any payment made — including the deposit — provided the course has not yet started.

To cancel within the 14 days, email enrol@thehairandbeautycollege.co.uk with your enrolment reference.

After the 14 days

Once 14 days have passed since enrolment, deposits are non-refundable. Course balance refunds depend on how much notice you give before the course start date:

If you need to move dates — transfers

You can transfer your enrolment to a different course or a later start date once, subject to availability, for:

  • transfer fee of £50
  • Plus any difference if the new course costs more (no top-up if it costs less; the surplus stays as credit on your account toward a future course)

You must request the transfer at least 14 days before your original start date (or 28 days if you’re funded through the Advanced Learner Loan, because Student Loans Company needs that long to update your record).

Email enrol@thehairandbeautycollege.co.uk with your current enrolment reference and the course or date you’d like to move to.


If life happens during your course — sickness and missed sessions

We don’t penalise you for being ill.

  • Sickness catch-up sessions (half-day or full-day) — no charge, subject to tutor availability
  • Additional observation sessions if your assessor needs to re-observe a unit — no charge
  • Action-planning sessions with your tutor if you’re struggling to keep pace — no charge
  • Portfolio re-marks — no charge

We’d much rather work with you to complete than have you leave because something went wrong outside the room. Talk to your tutor early; the support is there.


When fees do apply

A small set of situations carry a fee — these are the ones where the cost falls on the college unless we recover it:

Standard certificate delivery by Royal Mail second-class is included in your course fee.

Course completion deadline

You have two weeks beyond your course end date to submit any outstanding portfolio work or assessments. After that, we’ll talk to you about an action-planning session — and if work still isn’t completed, the awarding body’s late-completion process kicks in.

Late or missed instalment payments

If you’re on an in-house instalment plan and a payment is missed:

  1. Day 1 of missed payment — we’ll email you to flag it. Often it’s a card that’s expired or a bank glitch.
  2. Day 7 — second reminder + a phone call.
  3. Day 14 — your access to the course is paused pending resolution.
  4. Day 28 — if no contact, the course is suspended and the balance becomes due in full.

We’d much rather a quick conversation on Day 1 than escalate. Email enrol@thehairandbeautycollege.co.uk at any point.

Frequently asked

Why is the deposit non-refundable after 14 days?

Once the cooling-off period ends, the deposit covers the place we’ve reserved for you — including the awarding-body registration we may already have submitted on your behalf. Most colleges work this way.

What if HBC cancels a course?

If we cancel a course (low enrolment numbers, tutor unavailability, premises issue), you get a full refund of everything paid, including the deposit. We’ll also offer you a transfer to the next available cohort with no transfer fee. We aim to give at least 14 days’ notice if a cancellation is needed.

Can I get a discount for booking multiple courses?

Not at launch. We may add discount packages later but our current pricing is single-course only.

What about Payl8r and Clearpay?

If you choose Payl8r or Clearpay at checkout, the refund and transfer terms above still apply between you and HBC. Your finance agreement with the provider follows their own terms — typically Clearpay refunds within a few days; Payl8r requires us to notify them and refund through their dashboard. We handle that for you.

Can I pay in cash or by cheque?

We don’t accept cash or cheques. All payments go through Stripe or our finance partners. This keeps things clean for everyone — no lost cheques, no receipts to chase.
